Is it possible to apply for multiple jobs?

Yes. You can apply for multiple job openings.

What documents should I prepare before I start my application?

Resumè and a valid Government ID

I am a previous employee. Could I apply again?

Yes. Previous employees are welcome to re-apply in NMS.

Can I re-apply even if I failed the onboarding process?

Yes. You would have to wait for three (3) months before you could send another application.

Checking of Company Mails

How can I login my company issued mail credentials?

Go to https://mailserver.newmediastaff.com/ and login using the credentials issued by the HR. After logging in, you are required to enable the Two-Factor Authentication setup.
Once you are done with the 2-Factor Authentication, you may log in on this link:
https://mailserver.newmediastaff.com/rainloop/ using your email with its newly assigned
password.

How to enable 2-factor authentication?

Follow the steps below.

  1. Login to NewMediaStaff Portal: mailserver.newmediastaff.com
  2. Go to My Account
  3. Click "Enable 2FA"
  4. After enabling, 2FA, click on the QR code
  5. Scan the QR Code through mobile applications like google authenticator or Twilio Authy
  6. An OTP will be generated in the QR Code Authenticator app
  7. To verify 2FA, Put the 6 digit OTP and press ENTER
  8. A prompt will appear for successful verification
  9. After the 2FA is successfully verified, you will need to generate a random password for the webmail (Note: Once you enable 2FS, you cannot use your mail portal password to login in any of the webmail. Webmail password is generated by the system and cannot be changed)
  10. To generate a password for the webmail, put any word or words in the device password and create.
  11. A random generated password will be used in logging in to the NewMediaStaff Webmail
  12. Save the generated password. It will be used every time you login to any webmail
  13. You can now login to any of the webmail using the generated password

Government IDs

Am I required to provide my government ID numbers?

All Full-time employees are expected to provide the Company their SSS Number, PhilHealth Number, Pagibig Number, and T.I.N. (Tax Identification Number) within the first three (3) weeks of employment. Failure on your part to provide us all necessary information shall delay the payment of your remittances in the above-mentioned Government Agencies.

How and where will I send my government ID Numbers?

I don't have a SSS government ID. How do I get one?

IF, in any case, you don’t readily have the Government I.D. Numbers and you need to apply for it, please go on the link/s as stated below and register:

I don't have a PagIbig government ID. How do I get one?

Can I change the Government ID numbers saved on my HR profile?

If you previously do not have government ID numbers saved on your HR Profile, you cannot change it manually yourself but you could reach out to our HR Staff by sending an email to hr@newmediastaff.com. They will then confirm your request and update your HR profile.

Bank Account Details

Am I required to provide my Bank Details?

All Full-time employees are required to required to acquire and provide their Metrobank Account for salary disbursement within the first three (3) weeks of employment. Opening a Personal
(Prepaid Account) or Savings Account usually takes not more than a day.

What bank is required in this company?

NMS disburse employees salaries through Metrobank.

Can I use other banks?

No. NMS only accepts Metrobank Accounts

How can I obtain a Metrobank Account?

Approach on of the HR Staff in order to get the necessary requirements needed in order to apply for a Metrobank Account. They will then give you instructions on how to apply and which branch should you go to.

Can I change the Bank Account Number saved on my HR profile?

You cannot change it manually yourself but you could reach out to our HR Staff by sending an email to hr@newmediastaff.com. They will then confirm your request and update your HR profile.

NMSApps Login and Access Requests

How can I login on NMSApps?

Go to https://nmsaccounts.nmsapps.com/ and login using the credentials provided by HR.

I forgot my password. What should I do?

You can either approach our HR Staff so they could provide you a new password or you can go to https://nmsaccounts.nmsapps.com/login and click "Forgot Password".

Can I change my password?

Yes. Go to https://nmsaccounts.nmsapps.com/ and go to "My Account". Click "Updated My Info". On the Update Account Details prompt, enter your new preferred password then click "Update Account Details". You may now use your newly assigned password when logging in to NMSApps.

I don't have access to the HR Module. What should I do?

Go to https://nmshr.nmsapps.com/home and click on "Request Access". Then get in touch with the HR Staff so they could check what type of access to give you for this module.

I don't have access to the Attendance Module. What should I do?

Go to nmsattendance.nmsapps.com/home and click on "Request Access". Then get in touch with the HR Staff so they could check what type of access to give you for this module.

I don't have access to the Finance Module. What should I do?

Go to nmsfinance.nmsapps.com/my-payslip and click on "Request Access". Then get in touch with the HR Staff so they could check what type of access to give you for this module.

NMSApps Updating of Personal Information and Gravatar

Can I change my NMSApps Profile Photo?

Yes. Here are the steps in changing your NMSApps profile photo

  1. Log on to https://gravatar.com. Once you are on the gravatar page, clock "Create New Account"
  2. Register using your COMPANY EMAIL ADDRESS. Then follow the procedure the activate your account (Note: This will serve as your login credentials whenever you want to change your photo)
  3. Once your account is activated, you will be redirected to the LOG IN page. Set up your account, upload the picture of your choice. This will then serve as your photo on the HR App.

Your photo upload must be of your face, and not of any animal, celebrity, object, or character of any kind. 

What are the Guidelines in uploading a profile photo?
  1. Use a most recent photo of yourself (a photo taken within a year)
  2. Be the only subject in the photo
  3. Your face should be in focus
  4. Wear an appropriate attire
  5. Keep your head straight and upright with a pleasant facial expression
Do I need to upload a photo for my NMSApps profile?

Yes. Memorandum HRDD-12-13-2021-GC requires all employees to provide accurate, complete, and up-to-date information, including uploading an appropriate, professional-looking profile picture on the HR Application.

  1. For Newly Hired Employees
    • HR App profile pictures should be uploaded within a week from date of employment.
  2. For Current Employees
    • NMSApps profile picture should be updated at least once a year.
I need to change my name. Where should I change it?

Go to https://nmsaccounts.nmsapps.com/ then login using your NMSApps account credentials. Then go to "My Account". Click "Update My Info" then change your name. Ater updating, click "Update Account Details".

I want to add a Contact Person. How will I do that?

Go to the HR Module ( https://nmshr.nmsapps.com/my-profile ) > My Profile > Contact Person section and click on the edit icon. After filling out the form, click the check icon to save.

Is it required to add a Contact Person?

Not necessarily, but it is encouraged to add one since it is used in emergency cases.

Leave, AWOL, NCNS Extra Work, and Change of Schedule Application

How can I apply for a leave?

Go to the Attendance Module ( https://nmsattendance.nmsapps.com/ ) > My Leave and fill-out the Apply Leave form. After filling-out the form, click Submit.

How will I know if I should apply for With Pay or Without Pay?

Paid leave credits are being given to employees who have stayed in NMS for a year or more. If you have remaining leave credits, you are required to use all of them before applying for a "Without Pay". The system will automatically detect if you have remaining leave credit left. All you have to do is select what is prompted on the Leave Type field on the Apply Leave Form.

Incorrect Number of Leaves Credits

For Managers/Executives:

Confirm the consumed leaves here -> https://nmsattendance.nmsapps.com/leaves

The leaves table only shows data for the past 2 months. You can only view all the filed leaves of an employee within a date range. To do this, click the "Show w/ Filter" button and fill out the necessary fields that you will need.

If the table doesn't reload or show any data, try adding another employee on the Users field.

If you have confirmed that the number of leaves is incorrect. Send a report to HR with the screenshot from the Leaves Table.

How will I know if I still have Paid Leave Credits left?

Go to https://nmsattendance.nmsapps.com/ > Home Page, on the upper right area, you will see your Remaining Leaves credits there.

My paid leave credits will reset. What will happen to my unused paid leave credits?

Unused leaves will be monetized, meaning it will be converted to cash. The monetization will be based on your daily rate multiplied by your unused paid leave credits. 10 leaves for rank and file employees and 15 leaves for managers may be monetized. Disbursement of the money will be within the closest payroll following your anniversary date.

What is special leave?

This is a special type of leave that are given to eligible employees. The following are the different types of Special Leaves offered to employees:

  1. Maternity Leave
  2. Paternity Leave
  3. Solo Parent
  4. Special Leave for Women
Can I apply for a special leave?

You cannot apply it by yourself on the Attendance Module. You would have to approach our HR Staff so they could tell you the requirements needed for each Special Leave Type. After confirming your eligibility for a certain Special Leave Type, they will apply the leave for you.

What are the different leave subcategories?

For a regular leave, there are Sick Leave, Personal leave, Emergency Leave, and Bereavement Leave. For a special leave. there are Maternity Leave, Paternity Leave, Solo Parent Leave, and Special Leave for Women.

How to apply for a sick leave?

Go to the Attendance Module ( https://nmsattendance.nmsapps.com/ ) > My Leave and fill-out the Apply Leave form and choose "Sick" under the Subcategory field. After filling-out the form, click Submit.

Sick Leave must be applied three (3) hours before the start of the employee's duty thorugh a phone call to the immediate superior/department head. The department head/superior to whom the information for sick leave is realayed shall apply for and in behalf of the employee via HR App. Duly notarized documentation shall be required upon return to work.

Who approves sick leaves?

This leave should be approved by the company nurse (or by your immediate superior with the company nurse's discretion) after obtaining a Medical Certificate from the employee who filed for the leave.
Failure to provide a Medical Certificate will result your filed leave being tagged as Unauthorized.

How to apply for a vacation/personal leave?

Go to the Attendance Module ( https://nmsattendance.nmsapps.com/ ) > My Leave and fill-out the Apply Leave form and choose "Personal" under the Subcategory field. After filling-out the form, click Submit.

Vacation/Personal Leaves, whether pair or not, must be applied for through the HR APPLICATION at least two (2) days before actual date of leave subject to approval of the Department Head.

Who approves vacation/personal leaves?

Vacation/Personal Leaves are being approved/rejected/cancelled by your immediate superior.

How to apply for an emergency leave?

Go to the Attendance Module ( https://nmsattendance.nmsapps.com/ ) > My Leave and fill-out the Apply Leave form and choose "Emergency" under the Subcategory field. After filling-out the form, click Submit.

Emergency is understood to be any untoward incident, such as, but not limited to accidents or calamities that befall the concerned employee or any of his/her immediate family. Immedite family pertains to his relatives within the first civil degree of onsanguinity or affinity. If the emergency occurs during the shift, the employee must inform his/her immediate superior of the nature of the emergency before leaving the workplace . If the emergency occurs before the shift, employee shall inform his/her immediate superior through a phone call within two (2) hours from the start of his/her shift.

When filing for a leave, some days are grayed out. What does this mean?

Previous dates are intentionally grayed out since you should not file for a leave for previous dates. Future dates that are grayed out means that you have no roster or work schedule for those days.

Emergency leaves are being approved/rejected/cancelled by your immediate superior.

What is AWOL?

AWOL stands for "Absence Without Official Leave"

An employee’s leave of absence may be tagged as Absence Without Official Leave, if:
- The employee fails to report to work when his her filed leave was disapproved for justifiable reasons.
- The employee fails to report to work and his/her leave of absence was not filed within the prescribed period of filing; and
- It was not filed for any other reason.

What are the consequences if I am tagged as AWOL?

1st Offense: 5-day Suspension
2nd Offense: Termination

What is NCNS?

NCNS stands for "No Call No Show". This refers to an unfiled leave of absence without prior notification to the employee’s superior/s and/or HR.

What is the difference of Overtime work and Restday work?

Overtime work refers to the additional hours an employee works beyond their regular working hours. Restday work, also known as work on a day off or working on a designated rest day, refers to performing work duties on a day that is typically considered a day off for an employee.

Can all employees apply for an Overtime Work?

There are no policies prohibiting an employee to apply for an Overtime Work. Although, it is in the discretion of your immediate superior if you should or if you are allowed or eligible to file for an Overtime Work.

Go to the Attendance Module ( https://nmsattendance.nmsapps.com/ ) > My Extra Work > My Overtime Work > Fill out the Apply Overtime Work form. After filling out the form, click Submit

How to apply for a Restday Work?

Go to the Attendance Module ( https://nmsattendance.nmsapps.com/ ) > My Extra Work > My Restday Work > Fill out the Apply Restday Work form. After filling out the form, click Submit

Who approves Restday Works?

Restday Works are being approved/rejected/cancelled by your immediate superior.

Can I apply for a change in my schedule?

Approach your immediate superior. They will be the one to coordinate with the HR department and make this decision.

When filing for an Overtime Work, some days are grayed out. What does this mean?

ATS & Biometrics

My clock-in entry didn't seem to have been saved, what should I do?

If you used the Actatek device, record a video to prove that your clock-in is not registering on the device. Then report it to any of the HR personnel, include your video recording. If you used the ATS, if you are the only one experiencing this, report it to your immediate superior so they could manually insert your time record. If it happens again report it to HR so they could get in touch with the IT Department.

Is it possible to use ATS outside the office?

ATS must be done within office premises for Office-based employees, it may be allowed outside the office if an employee is permitted to.

I forgot to clock in/out. What should I do?

Contact your immediate superior. They would be the one to update your ATS record.

Why can't I clock in/out beyond 30 minutes before/after my roster or work schedule?

This is to avoid inconsistencies on the computation of work hours of employees especially those who have graveyard shifts.

I cannot access my ATS. It's saying I don't have a schedule for today. What should I do?

This means you have no roster or work schedule for today. Approach your immediate superior so they could check if you have a work schedule. They will report to the HR Department if there are issues.

I have a double clock in/out. What should I do?

Approach your immediate superior. They will be the one to manually update your ATS record.

Why can't I view my time record for a certain day even though I worked that day?

Approach your immediate superior so they could check if you have a roster or work schedule for that day. If you still cannot view your time record, this means your record for that day do not have 8 records; thus, the system is not calculating your work hours properly. Ask your immediate superior to manually fix it for you.

Salaries, Payslips, and Loans

What are the different types of loans does the company have?

Salary
Zero % Interest (Crisis Loan)
SSS
PAG-IBIG

Can all employees apply for a Zero(0) % Loan?

Anyone could apply for this loan but not everyone will be approved. This loan is only for those with the following needs:

  1. Medical Emergency
  2. Family Emergency
  3. Domestic Emergency
  4. Transportation Repairs

Each of the above will require you to upload a proof that you indeed have those types of emergency needs.

Can I apply for a loan with any amount?

You can apply for a loan amount within the max loan amount computed on the Apply for a Loan form.

How can I apply for a salary loan?

Go to the Finance Module ( https://nmsfinance.nmsapps.com/my-payslip ) > My Loans > Salary Loans > Fill out the Apply for a Salary Loan form. After filling-out the form, click "Create Loan"

How can I apply for a Zero-Interest Loan?

Go to the Finance Module ( https://nmsfinance.nmsapps.com/my-payslip ) > My Loans > Zero-Interest Loans > Fill out the Apply for a Zero-Interest Loan form > Upload the necessary documents needed. After filling-out the form, click "Create Loan"

Who approves Salary Loans?

Salary Loans are being approved/rejected/cancelled by the Finance Staffs.

Who approves Zero-Interest Loans?

Zero-Interest Loans are being verified by the HR Manager and are approved/rejected/cancelled by the Finance Staffs.

Can I apply for another loan if I have other existing loans?

Yes, as long as you still have remaining Max Loans left.

Who can I ask regarding my salary?

You can approach any of the HR Staff.

When will I receive my salary?
